Voicemail Greetings: “Hello, we’re not working today, but please leave your voicemail after the beep and we will contact you soon”
How annoying this sounds, doesn’t it? How annoying to call a company which claims to be professional and be obliged to listen to this dull, impersonal message.
Would you leave them your message after the beep? Would you call them the next day?
Probably not.
If your voicemail greetings are similar with what you have just read above, then you are in big trouble. It is time to learn how to make your voice messaging service more… customer friendly.
Here are some tips to help you craft your personalized copy:
- Tell people who they have called. Once you greet them, tell them that they’ve called [YourCompanyName]. If you have a catchy motto, include it in your message. For example: “Hello! Welcome to [YourCompanyName], the place where you can make your dreams come true”
…or something like that. But you get the point: your voicemail must express your companies personality.
- Tell them why you are not available at that moment. And do not do it as if they interrupted you from something. Be friendly – use jokes if appropriate. For example, you could say something around the lines of: “Unfortunately, our working hours end at 5 PM, but don’t worry. You can leave us a voice message and we will listen to it first thing in the morning. Promise!”
- Give them brief and clear instructions about how they should leave their voicemail. Be short with your instructions: ask them to leave their name and a form of contact (either phone number or email address). It can be like this: “To make it easy to get back to you, please leave your full name and contact details after the beep, and then continue with your inquiry”.
